When I worked as a caterer the most asked question I would get from clients was: how many appetizers to serve per person?

I assured my clients that I was here to help and I had a formula for making sure we didn't serve too few and guests might go hungry or too many and they would be left with trays of leftovers.
Whether it's a casual game day gathering or an elegant cocktail party, my guide will help you nail the numbers every time. Plus, I have included easy appetizer recipes you can make ahead, so hosting is stress-free.
How to Start To Calculate Your Appetizer Needs
- Know Your Guest Count
- Firm up RSVPs to get as close to an accurate number as possible.
- Decide the Role of Appetizers
- Before Dinner: Light snacks to keep guests happy until the main meal.
- Main Event: Enough variety and volume to replace a full meal.
- Mix & Match Types
- Include dips, finger foods, and make-ahead bites so there's something for everyone.
Appetizer Count Quick Reference Chart
| Event Type | Variety | If Serving a Meal | Variety | If Appetizers Are the Main Food |
|---|---|---|---|---|
| Small Gathering (up to 10 people) | 1 hot 1 cold | 3-4 pieces per person | 2 hot 2 cold | 8-10 pieces per person |
| Medium Gathering (10-30 people) | 1 hot 1 cold | 3-5 pieces per person | 2 hot 3 cold | 8-12 pieces per person |
| Large Event (30+ people) | 2 hot 2 cold | 4-6 pieces per person | 3 hot 3 cold | 10-12 pieces per person |
| Cocktail Party (2+ hours) | 6-8 pieces per person per hour | |||
| Holiday Open House | 1 hot 1 cold | 3-4 pieces per person | 3 hot 3 cold | 8-10 pieces per person |
Drinks Tip
Count on guests eating more if there's alcohol involved or the event spans several hours.
Charts are great, but what does it MEAN!? I would walk my clients through the process. Are you serving a meal? How many people are confirmed? Once you have those two questions answered the fun part begins! Choosing the menu!
Example Appetizer Menu (Party of 8/eating a meal)
- Cream Cheese Sausage Balls - 2-3 balls per person; 16-24 pieces prepared.
- Melon with Prosciutto Skewers - 2 skewers per person; 16 skewers prepared.
With this example, I will be making 24 cream cheese sausage balls because they are easy to scoop and bake, along with 16 skewers, because they are more hands-on in preparation. But you know your guests and your budget, adjust accordingly.
Example Appetizer Menu (Party of 20/no meal)
- Pineapple Cheeseball with crackers.
- Watermelon Feta Salad served in individual serving containers.
- Marinated Mozzarella Balls with fancy toothpicks nearby.
- Caramelized Onion Dip with Bacon with toasted baguette.
- Hot Artichoke Spinach Dip with toasted baguette.
- Fried Goat Cheese Medallions (40 slices)
With this example, the appetizers ARE the main meal. The pineapple cheeseball, mozzarella balls, onion dip, artichoke dip, and slicing goat cheese are prepped the night before. The warm dips go in the oven at the same time, the watermelon salad is made and portioned out hours before the party so the only thing you have to do is fry the goat cheese as you pull the dips from the oven.
Pro Tips for Serving Appetizers
- Label Everything - Use small cards to mark vegetarian, gluten-free, or spicy items.
- Stagger the Serving - Bring out heartier bites later in the event to keep guests interested.
- Prep Ahead Where Possible - Choose at least 2-3 recipes that can be made the day before.
